Certification Process: Learners, Assessors, and Moderators

Receive and Evaluate Applications

Applications for constituent registration are registered by the Data Management Unit and forwarded to the ETDQA to process

  1. Verifier, Moderator, Assessor applications received  are verified by the Provider Support and Certification Practitioner
  2. Captured applications are sent back to the ETDQA: the Provider Support and Certification Practitioner to process certificates

Applications acknowledged by DMU.

Enrolled learners are tracked and applications are captured

Issue Certificates for:Assessors and Moderators
  1. Applications are placed on the tracking record
  2. Certificates are printed and circulated for further verification within the division
  3. Holograms are affixed
  4. Copies of certificates are made: Holograms are captured on the back up spreadsheet and sent to DMU for capturing on the MIS and filing
  5. Certificates  are sent out with covering letters to the applicants

Printed certificates are verified and sent out to the applicants

Update and keep records
  1. Update back up assessor and moderator lists
  2. Keep records and file spoilt certificates and holograms

Lists of certificated assessors and moderators is kept

Records of certificates used and/or spoilt are kept

SECTION: MANAGEMENT OF CERTIFICATES

Objective: Ensure validity, completeness and accuracy of certificates printed and safety of unused  certificates

Issuing of Learner  certificates

Certificates issued for :
Learner Competency  

  1. Files of certificates to be awarded are received from Data Management Unit.
  2. The certification Practitioner verifies the  files against the MIS
  3. Certificates are printed
  4. Tracking records of certificates issued maintained.
  5. Printed certificates are circulated within the division for two more verifications
  6. Signatures and holograms are affixed
  7. Copies of certificates are made: Holograms are captured on the back up spreadsheet and sent to DMU for capturing on the MIS and filing
  8. Certificates  are sent out with covering letters to the applicants

Data Management Unit informed of any outstanding information required to print certificates.

Printed certificates are verified and sent out to the applicants

 

Update and keep records
  1. Keep records of  all certificates and hologram stock
  2. File spoilt certificates and holograms

Certificate and holograms stock and records of used and spoilt certificates and holograms are kept

Issuing of Accredited Provider Certificates

 

 

  1. Receive ETQA review Minutes and access provider reports from the Share-data
  2. Tracking record is developed for the provider certificates required
  3. Provider certificates are printed
  4. Printed certificates are circulated within the division for  more verifications
  5. Signatures and holograms are affixed
  6. Copies of certificates are made: Holograms are captured on the back up spreadsheet and sent to DMU for capturing on the MIS
  7. Copies are filed in the provider files by the ETDQA Administrator
  8. Certificates  are sent out with covering letters to the accredited providers

 

Update and keep records
  1. Keep records of  all certificates and holograms stock
  2. File spoilt certificates and holograms
  3. Accredited provider lists are updated by the ETDQA Administrator
